Privacy Policy

How we collect, use, and protect your data.

Legal Note: "Prime Airport Transfer" is a trading name of Rapid Airport Transfers. Wherever this policy refers to "we" or "us", it refers to Rapid Airport Transfers as the legally responsible Data Controller.

We collect the data needed to run airport transfer bookings safely, fix broken website journeys, prevent abuse, and offer relevant discounts where a visitor has agreed to that use. We are committed to the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations where they apply.

1. The Data Controller

For the purposes of the Data Protection Act 2018 and UK GDPR, the Data Controller is:

Rapid Airport Transfers

Regus Cardinal Point
Park Road
Rickmansworth, WD3 1RE

Licensed by: Three Rivers District Council.

2. Personal Information Collection

We collect personal information when you visit the website, use a quote form, accept or reject cookies, contact us, or place a booking. This can include:

  • Identity and journey data: Name, flight number, pickup address, drop-off address, date, time, passenger count, luggage details and booking notes.
  • Contact data: Email address, phone number, country code and any message you send to us.
  • Transaction Data: Details of payments (processed securely via third-party providers; we do not store full card details).
  • Technical data: IP address, hashed IP address, approximate country signal, browser user agent, page URL, consent version, consent choices and timestamps.
  • Website interaction data: Clicks, form events, booking funnel errors, widget interactions and masked session diagnostics used to identify broken user journeys.
  • Discount and offer data: Details you voluntarily submit for an offer, such as name, email, phone number, country code, route interest and booking intent.

We use approximate IP-based country or region signals only as a broad website and security signal. It is not treated as an exact pickup location.

3. Cookies, Consent and Operational Diagnostics

Essential storage is used for the booking flow, website security, quote forms, saving your cookie choices and customer support chat.

If you accept optional cookies, we use Google Analytics, Google Ads measurement and PostHog product analytics to understand website use and identify booking friction. PostHog session diagnostics mask all form inputs and address suggestion text. Session recording is disabled on payment, confirmation and administrative pages, and anonymous visitors do not receive persistent person profiles unless they are deliberately identified.

These optional tools do not load before you accept them. You can withdraw or change your choice at any time using the Cookie Preferences control in the footer.

4. How We Use Your Data

We use the collected information for the following purposes:

  • To fulfill bookings: Dispatching your job to a licensed driver and vehicle.
  • To communicate: Sending booking confirmations, driver details, and receipts.
  • To comply with the Law: Keeping booking records as required by the Local Government (Miscellaneous Provisions) Act 1976.
  • To fix website problems: Reviewing masked diagnostics, form errors and broken journey data so customers can complete bookings.
  • To personalise the website: Showing relevant route information, support options or offers based on broad location signals and website interactions where allowed.
  • To provide special discounts: Using contact and offer data you voluntarily submit, and only where you have agreed to that use.
  • To improve service: Analyzing aggregate data to improve website performance, route pages and booking conversion.

5. Your Data Rights

You can ask us what personal information we hold about you. You can also ask us to correct inaccurate information, restrict how we use it, object to certain uses, withdraw consent, or request deletion.

Deletion is not absolute. We may need to keep some booking records where the law, licensing rules, accounting duties, fraud prevention or dispute handling requires retention. Where we cannot delete a record immediately, we will explain why and limit the use of that data where possible.

To make a request, email us from the address connected to your booking or enquiry and include enough detail for us to identify the record. Use info@primeairporttransfer.co.uk.

6. Protection and Retention of Your Information

We use access controls, admin login protection, database permissions, HTTPS and restricted operational processes to protect personal data. Booking data is stored within our dispatch and website systems. Access is restricted to authorised staff, administrators and drivers who need the information to perform the service.

Consent records and website interaction records are retained only as long as needed for consent audit, security, diagnostic review and customer data rights handling. Booking and transaction records may be kept for longer where licensing, accounting, tax, safety or legal obligations require it.

7. Information Sharing & Legal Obligations

We do not sell or trade your personal data to marketing companies.

However, we may share your information in the following strict circumstances:

  • Drivers: Your name, pickup location, and phone number are shared with the allocated driver to facilitate the journey.
  • Licensing Authorities: As a condition of our operator licence, we must make booking records available to Three Rivers District Council or the Police upon request for law enforcement or safety purposes.
  • Service providers: We use trusted providers for payment processing, email delivery, analytics, diagnostics, live chat, advertising measurement, hosting and security.
  • Legal and safety requests: We may share data where required to protect customers, drivers, our business, or to respond to lawful requests.

“The drivers were fine and the cars were clean but were late for both of my transfers. The excuse was traffic but other drivers had arrived on time for their customers, probably because they left earlier to cater for the traffic. I will choose a different company next time”

“Very happy with the service, the car was very clean, driver was on time and the route was optimal. Two things I want to especially mention. I was very pleasantly surprised how diligent the driver was, it not everyday you see driver uses indicators even at 4AM on a small street with no cars insight. The second thig was a bit of a scare, as usually drivers arrive close to 30 minutes earlier, I was a bit stressed if they were coming. This is all on me, as the driver was on time and all was great, so don't worry 🙂 I will definitely use them again for my travel. PS: I have only used them for a transfer to the airport, haven't tried the other direction yet.”
